Privacy Policy
1. Who We Are
OVP Coaching is a sole trader coaching business operated by Olive Pellington, based at 1 Upper St Mary's Rd, Smethwick, Birmingham B67 5JR. References to "we", "us", and "our" in this policy refer to Olive Pellington trading as OVP Coaching.
You can contact us about any privacy matter by email at info@ovpcoaching.co.uk or by phone on 07505 784546.
As a sole trader processing personal data in the course of our business, we act as a data controller in respect of the information you provide to us. We are committed to handling your personal data lawfully, fairly, and transparently in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. What Personal Data We Collect
We collect personal data only when you actively provide it by completing the enquiry and contact form on our website. The data collected may include:
- Name — to identify you and address you correctly
- Email address — to respond to your enquiry
- Phone number — so we can contact you to arrange a consultation
- Coaching reason — adult, teen, or schools coaching, to understand how we can help
- Business or school name — where relevant to your enquiry
- Message content — any additional information you choose to share
We do not collect any special categories of personal data (such as health, racial or ethnic origin, religious beliefs, or similar sensitive data) through our website forms. If you voluntarily share sensitive information within a message, you do so at your own discretion and we will treat it with the utmost confidentiality.
3. Self-Reflection Answers Stored in Your Browser
Our website includes an interactive self-reflection exercise. If you type answers to the reflection questions on our homepage, those answers are saved only in your own browser using a technology called localStorage. This means:
- Your reflection answers are stored on your own device, not on our servers.
- We cannot access, read, or retrieve those answers unless you choose to include them in a form submission to us.
- You can clear this data at any time by clearing your browser's site data or localStorage.
4. How We Collect Your Data
Your personal data is submitted via our contact form, which is processed by Formspree (formspree.io), a third-party form submission service. When you submit the form, your data is transmitted to Formspree's servers and then forwarded to our email address. Formspree acts as a data processor on our behalf. Their privacy policy is available at formspree.io/legal/privacy-policy.
We do not use automated form data collection for any purpose other than responding to your enquiry.
5. Lawful Basis for Processing
We process your personal data on the following lawful bases under UK GDPR:
- Legitimate interests (Article 6(1)(f)) — to respond to enquiries you have initiated and to manage the relationship with prospective and current clients. Our legitimate interest is in providing coaching services; this processing is necessary and we have balanced it against your rights and interests.
- Contractual necessity (Article 6(1)(b)) — where you engage our coaching services, processing your contact details is necessary to fulfil that contract.
- Compliance with a legal obligation (Article 6(1)(c)) — where applicable, for example retaining records required by HMRC.
6. How We Use Your Personal Data
We use the information you provide to:
- Respond to your enquiry and arrange a consultation
- Deliver coaching services you have requested
- Keep records of our business relationship
- Comply with any applicable legal obligations
We will not use your data for automated decision-making or profiling. We will not send you unsolicited marketing communications.
7. Who We Share Your Data With
We do not sell, rent, or trade your personal data to any third party. We may share your data only in the following limited circumstances:
- Formspree — as described above, as a data processor for form submissions.
- Legal requirements — if we are required to disclose your data to comply with a legal obligation, court order, or regulatory authority.
Your data is not transferred outside the United Kingdom or European Economic Area, except where Formspree's infrastructure may process data. Formspree maintains appropriate transfer safeguards; please refer to their privacy policy for details.
8. How Long We Keep Your Data
We retain personal data only for as long as is necessary for the purposes for which it was collected:
- Enquiries that do not lead to coaching — up to 12 months from your last contact, after which we will delete your data.
- Client records — for the duration of our coaching relationship and for up to 6 years thereafter, in line with our obligations under tax and financial record-keeping law.
9. Your Rights Under UK GDPR
You have the following rights in relation to your personal data:
- Right of access — you may request a copy of the personal data we hold about you.
- Right to rectification — you may ask us to correct inaccurate or incomplete data.
- Right to erasure — you may ask us to delete your data where there is no compelling reason for us to continue processing it.
- Right to restriction — you may ask us to restrict processing of your data in certain circumstances.
- Right to object — you may object to processing based on legitimate interests.
- Right to data portability — where processing is based on consent or contract and carried out by automated means, you may ask for your data in a machine-readable format.
To exercise any of these rights, please contact us at info@ovpcoaching.co.uk. We will respond within one calendar month. We may need to verify your identity before actioning your request.
You also have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK's data protection regulator, if you believe your data has been handled unlawfully. You can contact the ICO at ico.org.uk or on 0303 123 1113.
10. Security
We take the security of your personal data seriously. We use appropriate technical and organisational measures to protect your data against unauthorised access, loss, or disclosure. However, please be aware that no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

Our website may contain links to other websites. We are not responsible for the privacy practices or content of those external sites. We encourage you to read their privacy policies when you visit them.
